It is no small task to gather the information necessary to gauge the feasibility of a project, to investigate an area of interest, analyze activity or test the waters. But gathering data is often easy compared to organizing and presenting it. While no single format is perfectly suited to so many possible variations, this template takes you a long way toward organizing a long report and presenting it in a way that is easy to read and navigate.
The example shows how a cooling systems consultant might present an analysis of a manufacturing facility. Because this type of report could easily include fifty or more pages, the structure is far different than that of a five or ten page proposal. In addition to the body of the report, this format includes such elements as a Table of Contents, a List of Illustrations and an Index to guide the reader through the information.
Begin your version by composing a matter of fact title, in this case "Cooling Requirements for Example Manufacturing's Dover Mill." Other possible title page information might include the issue date, the name of the author, compiler or investigator and their job title, the name of the organization they represent and the name of the organization they have created the report for. You might also include a report number, a version number, a purchase order or job number and any other details that demonstrate the relevance of the report to the reader.
A well-chosen symbol or illustration on the cover is an important visual cue. In this case, the combined snowflake and sun symbols clearly represent the idea of cooling. By using images on the cover and repeating them on a few pages inside, you create a visual theme that takes the report one step out-of-the-ordinary.
The pages inside are divided into three sections. The front matter is used to organize and introduce the report and is numbered with roman numerals. The body of the report lays out the basic information and is numbered with Arabic numbers. And the back matter documents, appends, defines and indexes the body of information presented.
If you need more than a few copies, print a master copy of the pages and take them to a commercial printer to have them reproduced in quantity. Have the cover printed on a colorful 80 lb. cover stock (paper) and the pages on one side of a bright white 25 lb. text stock. The finishing touch is to have the printed reports perfect bound (a boxed, glued edge) with a black tape spine.
