Keep your event front-of-mind

Got a lot less to do this month than you did last year at this time? Not if you're living on the same planet as we are. The fact is, the lives of most business people are in fast-forward. So it stands to reason that once your prospect knows about your product or service, keeping it on their radar screen is a valuable benefit to both them and you.

The Reminder Card is a simple, engaging way to do just that. The example shows how a professional organization might remind invitees about an upcoming awards event. You print them two per single 8 1/2 by 11 inch sheet, cut the sheet in half vertically, and mail them flat.

At the bottom of each card are instructions for assembling and using it: "FOLD on dotted lines and STAPLE OR TAPE. Display this card somewhere you will be sure to remember our sincere hope that you will attend this important event." It also includes a simple diagram that demonstrates how the folded card will look. The finished card is 4 1/4 by 4 1/4 inches and roughly 2 inches deep.

You can even suggest how to use it: "keep it on your desk," "tape it to your monitor," or "place it on your night-stand." Or include a cover letter that with a headline that plays on the idea-such as: "Be sure you don't forget the most memorable night of the year."

Use the same format to remind a prospect of an upcoming meeting, to announce your new web site, send it as a follow-up to making an appointment, create a mass mailing to announce a special web or television broadcast, or use it to announce the date of a cultural event, a convention, or a workshop. You might even use the cards within your own organization to remind colleagues of the milestone events of a particularly important project.

Sheet, Split

Plus, a reminder card is a particularly good follow-up to an initial mailing or to confirm reservations. It allows you to repeat important details that your audience might have missed on the first go-round such as the date, time, location, sponsor, cost, directions, suggested dress, and so on.

To add visual interest, consider using a bright-colored stock or printing the card using your C5000, C7000 or C9000 Series digital color printer from OKI Printing Solutions. Add a clip art image on the front, and center your organization's logo on the back. Print your version on the heaviest paper your printer will allow. The printer will print on paper up to the 44 pound weight. Or, if you are printing a large quantity of cards, print a master copy and take it to a commercial printer and have it reproduced on heavy stock and scored. (Scoring slightly indents the paper making for sharper, easier folds.)
